KEY CAPABILITIES

Eligibility Management

  • The Eligibility Set feature in iMANY CARS Rebates enable user-defined customer groupings and plans that are eligible for a particular scenario within a contract. Support for multiple scenarios allows for multiple eligibility sets on each contract.
  • Eligibility Sets are controlled manually or automatically (rule-based). Manual Eligibility Sets require the user – specified membership. Rule-based eligibility automates management of eligibility using pre-defined rules.

Product Management

  • Rule-based and manually managed Product Sets can create lists of products that are eligible for price groups and/or programs.
  • Rule-based product sets can be defined to automate the product eligibility on contracts.

Contracting and Rebating Scenarios

  • iMANY CARS Rebates provides the ability to enter and maintain all rebate -related contracts including critical contract details – contract dates, contract owner, and key contract price groups.
  • A price group is a “sub-contract” within the framework of the contract; it contains a product set, eligibility set, and performance criteria that will be used in the rebate calculation. The price group functionality enables management of performance scenarios that may be identified on a contract.

Condition Sets and Worksheets

  • Allows user to create and manage complex rebating scenarios that are found on many complex contracts. For example, conditions for a formulary-based contract can be set to evaluate the formulary status for a product in order to pay a rebate.
  • Condition Worksheet provides the ability to select and associate a condition rule set to a price group and to specify criteria that the submission data must meet or exceed in order for the price group to pay. Condition rules can be for Book of Business, Formulary Count, Formulary, Product Count or Submitted Data.

Book of Business

  • In managed-care contracting a trading partner submits data with a particular book of business—typically Mail Order or Retail.
  • The Book of Business functionality allows a user to create automated conditions based on a book of business. With the ability to segregate adjudications based on the book of business, rebate calculations can include or exclude the book of business.

Submissions Processing (Utilization)

  • Data pertaining to rebates can be sent in various formats and frequencies. iMANY CARS Rebates provides the ability to define, map, import, and validate the incoming data.
  • Mapping Sets can be defined to match the file format submitted by a trading partner.
  • A submission (utilization) can be made up of one or more items for which the trading partner is requesting reimbursement. Adjudications are calculated based on this data. iMANY CARS Rebates provides the ability to import, enter, and validate submission data and correct errors. Once the submission data is validated and authorized, adjudications are created from the submission.
  • Once submission data is imported either automated or manual processes can invoke the Accept process. If received on paper, the data, upon review, can manually be entered from the hard copy or the Fill Utility to pre-fill the list of rows and to update each eligible row based on the paper invoice.
  • As part of the Accept process, iMANY CARS Chargebacks validates the data against the data in the system for trading partners, products, contracts, as well as against other submissions, to identify errors in the submission file. A submission file may contain errors on the submission header and/or may contain errors at the item level.
  • Authorized submissions are (subject to accurate price groups) trigger auto creation of a claim and/or product fee in Adjudications.

Workflow

iMANY CARS Chargebacks includes purpose-built workflows including:

  • Submissions – Submission Approval, Submission Undo, and Authorize.
  • Adjudications – Adjudication Change Status, Adjudication Bump Tiers, Adjudication Change Pay To, and Condition Disposition Overview.
  • Settlements – Approval Workflow, Approval Workflow for Adjusted Adjudications, and Voids.

Adjudication

  • Authorized submission information that is evaluated against a contract and then priced to calculate a reimbursement and/or product fees
  • Data from Submissions is compared to the contract, and appropriate reimbursement, chargeback, and administrative fee amount is calculated. Built-in safeguards process adjudications only against Active, Expired or Canceled contracts provided the submission occurs during the period before the contract has expired or has been canceled.
  • iMANY CARS Rebates enables users to review calculation, adjust the tiers achieved and re-price an adjudication. Once the adjudication is processed, users must approve before any payment can be made. Once the status is changed to Approved, the information is available within Settlements to determine the payment methods.
